Event waitstaff serving guests at a corporate dining table

Coordinated Staffing

We Work With Your Caterer

Learn more

Most families in this area already have a caterer they trust, often a heimishe caterer they have used for years. We do not ask you to change that. We staff the event around your caterer's food, in your venue, to your plan — and we coordinate with them directly so nothing collides on the day.

About this event

Coordination is the part of event staffing that nobody sells and everybody needs. Two teams in one building, a service time, a plating instruction, a parking arrangement and a hall access time all have to line up. When they do not, the family finds out at six in the evening with guests on the way.

This is our specialty. We send the service crew and take responsibility for the service side of the event, working to the instructions your caterer sets for the food. The result is that your caterer runs the kitchen and we run the room.

What we provide on site

We provide the waiters, the bartenders and the kitchen help, briefed on your caterer's menu and their service method before the event. Our crew knows which dishes are plated, which are passed, and how the milchig and fleishig service is separated, so they can serve it correctly rather than approximately.

On the night, we handle the setup of the service area, the flow of food from the kitchen to the table, the drinks service, the clearing and the cleanup. Your caterer's team stays in the kitchen doing what they do best.

  • Waiters briefed on your caterer's menu and plating instructions
  • Bartenders for a bar service or a kosher wine service
  • Kitchen help to support the caterer's service line
  • Setup of the service area, clearing and cleanup after the event

How it works with your caterer

You give us your caterer's name and contact details, and we reach out to them before the event. We confirm the menu, the service style, the arrival time, the number of guests and how the room is laid out. We also confirm with them who is responsible for each part of the service, so there is a single version of the plan.

If your caterer has preferences — a particular table to serve first, a dish that must leave the kitchen at a specific time, a plating that needs two people — we build that into the crew brief. You do not need to be the one relaying messages on the day.

Pricing notes

Coordinated staffing is quoted per event, based on the crew size, the hours on site and the service format. The quote is itemised by role so you can see the waiters, the bartenders and the kitchen help separately.

There is no separate coordination fee. The coordination is part of the service, because a crew that has not spoken to your caterer is not really working with them.

FAQ

Can you coordinate with my caterer?

Yes, and that is what we do every time. Send us your caterer's contact details and we will speak to them before the event to confirm the menu, the service style, the arrival times and who is responsible for what. You do not need to relay anything on the day.

Do you bring the food?

No. We are a staffing company, not a caterer, and the arrangement works precisely because your caterer keeps the kitchen and we run the room. Some families ask us to provide kitchen help alongside their caterer, which we do as part of the crew.

What if my caterer is not used to working with an outside crew?

It is common, and it is handled by the pre-event conversation. We ask your caterer how they want the service run, we brief our crew on it, and we make sure both teams know the timings. Most caterers we work with are used to outside crews and prefer someone else carrying the trays.

How far in advance should we book coordinated staffing?

Three to four weeks is usually enough for a straightforward event, and six to eight weeks if the venue or the caterer needs coordinating, or if the date is in a busy period. The earlier we can call your caterer, the more settled the plan will be.

Ready to book?

Send us the date, the venue, the guest count and the hours. We will come back with the crew that fits this event and a quote itemised by role and by hour.
